How missing answers and manual workarounds turn ITAD operational issues into business-wide pressure

You ask what should be a straightforward question:

Which assets are blocked, why are they blocked, and what needs to happen next?

Much of the information may already exist somewhere in your operation. It could be in the asset record, a diagnostic platform, a customer agreement, a report, an email or the knowledge of someone on the processing floor.

But when answering the question requires an export, several reports, a phone call and a manager who knows where to look, the workflow has not provided the answer.

Your people have had to build it.

An operator searches through records. A supervisor checks with another team. A manager combines the information in Excel. If the issue affects a customer commitment, your account team may soon be explaining a delay before it has a complete picture.

This is how an ITAD workflow issue becomes a business-wide problem.

The information exists. Someone still has to connect it.

At Makor, this is a pattern we keep hearing in conversations with ITAD operators and leaders. The issue is rarely a complete lack of data. More often, the relevant information is spread across inbound orders, asset records, diagnostic results, processing steps, customer requirements and pricing data.

Customers have described wipe results requiring manual confirmation, diagnostic information needing correction, and required grading, device-security or serial-number fields being discovered incomplete during reporting, often at the point where the correct information is difficult or impossible to reconstruct.

They also described device locks being identified later in the process. Some BIOS or DMD locks can be seen during boot, testing or erasure. Others may only appear after an operating system has been reinstalled and the device reconnects to the original provider. Depending on the processing route, a device can therefore appear ready to move forward until a later stage.

The asset still needs to move and the customer still expects proof, so your team searches, checks, corrects and chases what is missing.

One issue may take only a few minutes. Repeated across thousands of assets, multiple facilities and different customer agreements, it becomes a significant burden on the operation.

Where the burden lands

Your supervisors should be managing throughput, quality, priorities and people. Instead, they may spend part of the day locating assets, checking why a wipe failed, confirming whether a repair was approved or finding out who owns the next action.

Manual workarounds can keep work moving. Experienced employees often know where to look and whom to ask.

But the process then starts to depend on those individuals.

One facility may use a spreadsheet to manage repair decisions. Another may handle the same exception differently. One employee knows how to correct a diagnostic-data issue. One regional team interprets a customer agreement differently from another.

The operation continues, but the outcome becomes harder to predict.

That is the real scaling problem. It is not only whether you can process more assets. It is whether the same situation produces a consistent result across people, shifts, facilities, regions and customer agreements.

Consider what this looks like on the floor. A pallet of several hundred devices arrives under a customer agreement that specifies grading criteria, data-security requirements and reporting fields. Your team imports the assets, runs diagnostics, assigns SKUs, records grades and attributes, and routes each device toward its disposition. When that flow runs cleanly, hundreds of assets move through in a predictable rhythm. When a required field can be left blank, or a lock goes unnoticed, or two facilities grade the same condition differently, the exceptions surface later, in the report, in the resale listing, in the customer conversation, where they are far more expensive to fix than they would have been at the workbench.

The same issue affects value recovery

Should an asset be repaired, sold wholesale, listed online, moved to retail or recycled?

The decision may depend on its configuration, condition, grade, battery health, test results, repair cost, customer agreement, sales channel and current resale value.

When that context is spread across different records or analysed outside the workflow, the decision takes longer and relies more heavily on manual judgement. An asset may be held too long, sent down the wrong recovery route or priced without its current condition, configuration, repair requirement and resale information being available together close to the point of listing or sale.

The margin impact appears later. The conditions that shaped it were created earlier.

When missing information becomes a proof problem

Missing operational information also becomes a customer-facing proof problem.

If serial numbers, wipe results, chain-of-custody records or customer-required fields are incomplete, someone has to reconstruct the evidence before the report can be delivered, and report totals that do not tally, or customer-facing columns containing blanks, are often the first sign anything was missed.

What began as a missing detail during processing can become a delayed report, an incomplete certificate or a customer question that requires several teams to answer. Your account team inherits the uncertainty even though it did not create it.

What your teams should be able to expect

Your people will always apply experience, manage exceptions and make decisions. The goal is not to replace that judgement.

The goal is to stop making your teams reconstruct operational answers manually every time conditions change.

They should be able to understand which assets are blocked and why, what required information or proof is missing, which commitments need attention and what decision or action should happen next.

Those answers should not require another export, another spreadsheet or another round of internal chasing.
